Duties Description The Statewide Travel Coordinator's primary function is to initiate and manage the planning and development of procurement documents and contracts, coordinate activities associated with implementing a procurement contract, and/or oversee the travel coordination program for employees in all New York State agencies. The incumbent will serve as a member of a procurement team and report directly to a team lead.
Responsibilities include but are not limited to:
• Administer all aspects of the Centralized State Travel Management Program.
• Study, review and recommend policy and procedural steps designed to ensure adherence to State travel guidelines and travel contract requirements.
• Recommend compliance standards for State travel activities.
• Promote the availability of centralized travel documents, including contracts.
• Coordinate ongoing travel contracting activities.
o Confer on development and administration of centralized travel management contracts.
o Identify and suggest improvement opportunities designed to enhance current or future contracts.
o Negotiate contract terms and conditions with potential suppliers.
• Meet with travel agents and consultants to determine current market conditions and emerging market trends.
• Recommend new initiatives for travel management, including utilization of technology.
• Evaluate payment options for travel and ensure that payment methods utilized are the most effective and maximize administrative savings.
• Provide training and resource materials to State agency staff.
• Prepare and review reports concerning utilization of travel contracts.
• Review, monitor, and track assigned workload by using internal databases, project management tools, and SharePoint records.
• Efficiently utilize program databases, applications, and Microsoft Office Suite.
• Interact with customers and colleagues in a courteous and professional manner.
• Perform other duties and special projects as required.
Minimum Qualifications Seven years of experience in the negotiation and or coordination of large travel contracts for government and or private industry.
Substitution: A bachelor’s degree in travel, tourism and or marketing may be substituted for four years of experience.
