Duties Description The State University of New York at Old Westbury seeks a dynamic, forward-thinking, and engaging Associate Registrar. The Associate Registrar is a key member of the Office of the Registrar working on projects and maintaining records in conjunction with our Admissions Office, Student Financial Services Office, Financial Aid, other administrative offices and faculty and staff within the campus community. This office provides services to a diverse student population and their families, who are enrolled in a varied set of in person, online, and off-site courses and/or programs.
Responsibilities include but are not limited to:
Assist the Registrar in providing leadership in the daily operations of the office, while providing assistance to students, parents, staff, faculty, and administrators in accordance with FERPA.
Maintain and continue to develop the student information system for the Office of the Registrar.
Participate in the development, implementation, and maintenance of policies, objectives, short-and long-range planning to assist in accomplishment of established goals.
Oversee academic scheduling using Modern Campus Schedule each semester in coordination with academic departments by working with deans and chairs to identify and resolve potential scheduling conflicts.
Audit schedule, including room conflict, and configuration before publication.
Manage course creation and updates via Banner, Curriculog, and Degree Works while maintaining course information curriculum, and course inventory including Waitlist.
Process submission and resolving errors via the National Student Clearinghouse (NSC).
Process Change of Majors, Minors, Concentrations, high school course, registration, and grades.
Manage the review of degree applications and awarding degree and posting of honors.
Assist with Degree Works scribing, Transit, and Surecode.
Oversee AWS phone systems and transcripts via Parchment.
Responsible for maintenance and security of all student academic records.
In conjunction with the Registrar, ensure compliance with FERPA, and support FERPA training for all faculty and staff.
Lead the Office in registration activities while representing SUNY Old Westbury at various community and/or business meetings, committees, and task forces.
Assist with veteran students and the Student Solution Center.
Other duties as assigned.
Minimum Qualifications Minimum Qualifications:
Bachelor's degree from an accredited college or university (foreign equivalent or higher).
Five (5) years of progressively responsible experience in a Registrar's Office utilizing a student information database system, a degree audit system, other applicable higher education data systems, and proficiency with MS Office programs. Five (5) years of experience inclusive of the following: three (3) years in overseeing data processing operations, supervising staff and office operations and two (2) years of experience with higher education academic programs.
Must understand and have a thorough knowledge of the importance of FERPA and student records privacy policies.
Ability to maintain a high level of confidentiality.
Strong verbal and written communication skills.

Strong customer service skills and listening skills.
Excellent interpersonal communication skills and report presentation skills.
Ability to multi-task, prioritize, and execute tasks with strong attention to detail.

Ability to maintain accurate and concise information in systems.
Must be available to work a flexible schedule, including evenings and occasional weekend hours.
Preferred Qualifications:
Master's degree from an accredited college or university (foreign equivalent or higher).
Argos reporting experience.
Previous experience utilizing Ellucian Banner.
Previous experience utilizing Degree Works.
Previous experience utilizing Modern Campus.
