Duties Description The Administrative Assistant 1 (AA 1) is needed in the Bureau of Administration to provide administrative support within the Division of Family Health (DFH).

Responsibilities will include, but are not limited to, assisting with data entry to various tracking systems; scanning and archiving various documents; preparing mailings and reviewing outgoing correspondence; scheduling and making arrangements for meetings; maintaining shared calendars; assisting staff with travel and purchasing requests; and providing backup phone coverage to Bureaus within the Division as needed.

Minimum Qualifications Transfer Opportunity: Current New York State employee with one year or more of permanent, contingent-permanent, or 55-b/c service as an Administrative Assistant 1 (formerly Secretary 1); OR current New York State employee with one year or more of permanent, contingent-permanent, or 55-b/c service in a position allocated to a Grade 6 and above and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.

NY HELPS: Administrative Assistant Trainee 1 (Grade 8): High school diploma or high school equivalency diploma and six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration.

Administrative Assistant Trainee 2 (Grade 10): High school diploma or high school equivalency diploma, and one year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.

Administrative Assistant 1 (Grade 11): High school diploma or high school equivalency diploma; and two years of the above experience.

A certification (e.g., IAAP Certified Administrative Professional) or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology may substitute for two years of experience.

The selected candidates must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.

Preferred Qualifications: Proficiency in Microsoft Office Suite applications including Outlook, Excel, Word, Teams, and SharePoint; ability to use a multi-line phone system for triaging phone calls for multiple staff; experience with purchasing and travel guidelines; and experience working on projects that involve large teams.

Additional Comments Full-time, permanent appointment. Transfer Candidates may be asked for their social security number to verify eligibility.

Position may be filled at a trainee level (equated to Grades 8 or 10), or Grade 11, depending upon the qualifications of the candidate.

This position is part of the NYS HELPS program. No examination is required.
