Job Specifics
Duties Description
The candidate will work in the Division of Legal Affairs and provide administrative support for the Office of Proceedings. The candidate will assist the Enforcement Unit and the Administrative Law Judge by managing the clerical functions related to hearings and the regulatory violation process. Those duties may include, but may not be limited to:
• Maintain the status of all notices of violation, including recording appearances and dispositions.
• Organize and maintain the hearing docket and the data related to the disposition of notices of violations.
• Revise and update documents electronically. Experience and/or the ability to learn and use advanced features in MS Word, Excel and other existing or new database technology programs required.
• Use databases for research and correspondence generation.
• Draft, organize and track correspondence.
• Schedule hearings, meetings or conferences, prepare notices and coordinate the availability of participants.
• Reserve facilities and computer/video conferencing equipment.
• Process, prepare and serve legal documents via first class and certified mail.
• Prepare files for hearings and audit files for consistency and completeness.
• Handle payments for fines, enter judgments and assist in requests for suspensions of operating authority or vehicle registrations
Responsibilities may include serving a role within the Incident Command System to support the department’s response to regional and statewide emergency situations.
Minimum Qualifications To be considered for permanent appointment, candidates must be reachable on the current Civil Service eligible list or be eligible for reassignment or transfer in accordance with Civil Service Law.
